This is a mailing programme which allows for secure sending of bulk emails. We have purchased two accounts. The account with the username “WCA Mailing List” contains staff email addresses. A second account with the username “WCA Records” contains email addresses for individuals using services or their next of kin. A step by step for sending out a staff email is described below. The same process can be followed for those authorised to access individual/next of kin email addresses.
- Go to https://mailchimp.com/ and Click the login in link.
- User name – WCAMailinglist/ Password – WcADivoc!9
- You may get asked a series of security questions. (How many floors in your house – 2; Address of First House – John Moore Road, Favourite Coffee Brand – Nescafe)
- Select Create from the top menu, then select email.
- You will be prompted to name the campaign – usually this is the subject of the email, select begin
- The default option is set to email to all 747 staff email addresses. It is possible to create sub groups within this but most communication will be to the full group
- Enter the Name of the Person/Manager issuing the email in the “From” section
- Enter the Subject of the email in the “Subject” section
- To compile the “Content, select design email. We only have a basic membership, so select the “simple text” option for your email.
- The next page allows you to design the layout. One the right are three editing boxes. As you click into each in turn you can edit them. The first is a heading option and as we normally use the company logo, this can be deleted.
- Click into the second box. You can now enter the email text on the left hand side. Start by adding the logo. Click on the picture icon. This will bring you to the uploaded logos/signatures. Select the logo, normally you have to resize this by entering “150″ in the width area, this is a good size logo for the top of your email.
- If you have prepared the text you want to send in another document you can now copy it in. Alternatively you can type it in directly.
- The final block to be edited on the right hand side is the footer of your email. This contains some automatically entered fields such as the company year and date. It possible to delete any of these details if you wish.
- Next select continue. It is a good idea to do a test email to yourself first to see if the email is as you would like. If after reviewing the test email, you want to amend the email, you can edit each of the sections as before.
- Once you review the test email and are happy with the email, you can launch the group email by selecting send.
